We're hiring an organized, dependable generalist — part executive assistant, part client-support lead — who knows their way around GoHighLevel and keeps our day-to-day humming. Not an automation builder; an operator who makes everything run smoothly.
Think part executive assistant, part client-support lead, part CRM/ops coordinator. You'll keep the CRM clean, clients moving smoothly from booking through onboarding, the inbox answered, the files organized, and the founder's day handled — and document how it all works so the business runs the same whether or not anyone's watching.
When something needs deep automation building, we bring in a specialist GHL contractor. Your job is to operate the system well, not to architect complex workflows.
Manage contacts, pipelines, and calendars in GHL. Keep the CRM accurate and clean, and do basic workflow troubleshooting — flagging anything complex to our automation contractor.
Onboard new clients and coordinate appointments — schedule, confirm, reschedule, and follow up so no client or consult slips through the cracks.
Be the friendly front line across the inbox, email, and SMS. Answer questions promptly in our warm, professional brand voice, and route anything clinical to the right coach.
Calendar management, inbox triage, scheduling, and follow-up for the founder, plus light project coordination to keep tasks and deadlines on track.
Keep Google Drive organized, maintain clean document structure, and keep spreadsheets and simple reports accurate and up to date.
Record processes with Loom and write clear step-by-step Google Docs SOPs so the business is documented, repeatable, and easy to scale.
A short application — about 10–15 minutes — plus a quick Loom video so we can see your communication style.
A call with the team to talk through your experience and how you work.
A small, paid working session so we can see you in action on real-world tasks.
Join as a foundational operations hire and own the systems the whole team relies on.
We review applications on a rolling basis. Tell us a bit about yourself and include a short Loom intro.
