VFactor Health is a premium, clinical-grade online health-coaching program founded by Veronica Yu, a Registered Dietitian (RD) and Physician Assistant (PA). We're hiring a GoHighLevel Operations & Client Support VA — the organized generalist who keeps the day-to-day of a high-ticket coaching business running smoothly.
About VFactor Health
We help women 45–65 — on GLP-1 medications or considering them — lose fat, preserve muscle, manage side effects, and reduce long-term medication dependence, delivered as health coaching, education, and support. Our clients invest several thousand dollars in our programs, so every touchpoint has to feel organized, personal, and professional.
The Role
Think part executive assistant, part client-support lead, part CRM/ops coordinator, with solid working knowledge of GoHighLevel (GHL). You'll keep the CRM clean, clients moving smoothly from booking through onboarding, the inbox answered, the files organized, and the founder's day handled — and you'll document how it all works so the business runs the same whether or not anyone's watching.
When something needs deep automation building, we bring in a specialist GHL contractor. Your job is to operate the system well, not to build complex workflows from scratch. You'll work directly with the founder/CEO and the operations lead, so reliability, judgment, and clear communication matter as much as any single skill.
What You'll Do
GoHighLevel operations
- Manage contacts and pipelines in GHL — keep records accurate, move contacts through stages, tag/segment correctly, and keep the CRM clean and trustworthy.
- Coordinate client onboarding and appointments — schedule, confirm, reschedule, and follow up so nothing falls through the cracks.
- Basic workflow troubleshooting — spot when an automation, calendar, or sequence isn't firing, do simple fixes, and clearly escalate anything complex to our GHL automation contractor.
Client support & communication
- Be the friendly, professional front line across the inbox, email, and SMS — answer client and prospect questions promptly in our warm, clinical-but-approachable brand voice, and route anything clinical to the right coach.
- Keep response times fast and follow-ups consistent.
Executive assistance (to the CEO)
- Calendar management, inbox triage, scheduling, and task/loose-end follow-up for the founder.
- Light project coordination — keep tasks, people, and deadlines on track.
Documentation & reporting
- Google Drive organization & document management — clean folder structure, consistent naming, easy-to-find documents.
- Spreadsheet and reporting updates — keep trackers and simple reports current and accurate.
- SOP documentation — record processes with Loom and write clear step-by-step Google Docs SOPs.
Who You Are
Above all: exceptionally organized, reliable, and proactive. You catch the details, follow through without being chased, and bring order to a fast-moving business.
You bring
- Experience supporting an online digital agency and/or a high-ticket coach / info-product business — you understand the pace and client expectations. This is what we care about most.
- Working knowledge of GoHighLevel — comfortable in contacts, pipelines, calendars, and basic workflows; you can operate and lightly troubleshoot GHL.
- Excellent written English and a genuine customer-service mindset — clear, warm, professional, and quick in client-facing communication.
- Fluency with Google Workspace (Drive, Docs, Sheets) and Loom, plus comfort learning new tools quickly.
- Self-management and remote-work discipline — you manage your time, hit deadlines, and communicate proactively, with strong daily overlap with U.S. business hours.
Nice to have (not required)
- Familiarity with Typeform, Slack, Zoom, Calendly, DocuSign, email platforms (Klaviyo/Mailchimp), or light QuickBooks.
- Background in health, wellness, fitness, or coaching.
- Light SOP / process-improvement instincts.
You do not need to be an advanced automation developer. If your passion is building complex GHL/n8n/Zapier automations, that's a different role on our team — this one is about running operations cleanly and supporting the founder.
