VFactor Health helps women on or considering GLP-1 medications lose fat, preserve muscle, and build lasting habits — founded by a Registered Dietitian and Physician Assistant. Our clients invest several thousand dollars and expect everything to feel personal and clinical-grade. Every booked consult, every onboarding, every weekly check-in, every retained client depends on the systems behind the scenes.

That's what you'll own. You're not bolting automations onto a marketing funnel — you're building the operating system of a clinical health brand, where a delayed lead, a dropped follow-up, or a missed at-risk client has real consequences. The Role

What You'll Do

Own the automation and AI backbone end to end — built for reliability and compliance from the first workflow, because every system moves real money and handles sensitive client health data.

Own GoHighLevel

Run GHL as the system of record — workflows, sales pipeline and opportunity stages, calendars, custom fields, and SMS/email — versioned, tested, and documented in clean snapshots.

Funnel & speed-to-lead automation

Move a prospect from Meta-ad lead → application → consult → enrollment, with sub-60-second speed-to-lead, reminders, no-show recovery, and nurture in our clinical-but-warm voice (A2P 10DLC / TCPA compliant).

Integrations across the stack

Architect the connective tissue with n8n, Make, and Zapier across GHL, Klaviyo/Mailchimp, Typeform, calendars, QuickBooks, DocuSign, Slack, and Meta — making smart build-vs-buy and tool-selection calls.

Design & ship AI agents (Claude)

Build LLM workflows that qualify leads, deflect support questions, draft brand-safe copy, and more — with structured outputs, evals, guardrails, and a human in the loop. (AI surfaces information for a human coach; it never diagnoses or advises.)

The AI check-in early-warning system

Build the agent that summarizes weekly client check-ins and flags at-risk clients to coaches — the retention engine of the program.

Data, security & compliance

Keep identifiable client health data out of consumer AI tools, use no-train commercial API endpoints, practice data minimization and proper secrets management, and keep automated marketing FTC-compliant.

Reliability & monitoring

Own error handling, retries, failure alerts, logging, version control, and documentation — so a broken flow never silently drops a high-value lead or misses an at-risk client.

Measurement & reporting

Stitch the stack into one source of truth and produce a weekly plain-English funnel/revenue brief — ad spend → lead → consult → close → cash — reconciled against QuickBooks.

On-brand, automated messaging across the lifecycle — reminders, check-in prompts, nudges, and internal coach alerts — so nothing falls through the cracks.

Streamlining Calendars & Scheduling

Consult and session booking, reminders, no-show recovery, and coach availability / round-robin routing across a growing team.

Retention, Renewal & Win-Back

Milestone touches across the program, a continuation offer, and a personalized win-back track for quiet clients.

Speed-to-Lead + Smart Booking

Sub-60-second response, self-scheduling, and routing to the right closer.

AI Lead-Qualification Layer

An AI agent reads every application, scores fit, and writes a pre-call brief into GHL and Slack so closers only spend slots on qualified prospects.

AI Weekly Check-In Summarizer

Per-client coach briefs with trends and at-risk flags — a flagship retention build (flags for a human, never advises).

Cross-Tool Ops & Revenue Dashboard

One source of truth across the stack, with an AI-written weekly funnel-economics brief reconciled to cash.

What We're Looking For

The Builder We're Trying to Find

High bar, but realistic and hireable in one person. Experience and shipped work come first.

Must Have

Non-negotiables
  • Demonstrable GoHighLevel build experience as the system of record — workflows, pipelines, triggers, custom fields, calendars, SMS/email — with 2–3 real builds you can show Show your work
  • Production experience in at least two of n8n, Make, and Zapier, and fluency in the third
  • Real LLM / AI-agent automations in production, wired into business systems via API — comfortable with Claude and the Anthropic API
  • API & webhook fluency (auth, JSON, debugging)
  • Discipline handling sensitive personal and health data securely

Strongly Preferred

Moves you up the list
  • Light scripting (JavaScript and/or Python) for custom functions and API calls
  • A marketing-automation stack beyond GHL (Klaviyo, Mailchimp, or HubSpot)
  • Background in coaching, info-product, agency, DTC, or health/wellness
  • Analytics / dashboarding, or paid-media ops (Meta CAPI, attribution)
  • A habit of documenting what you build (SOPs, diagrams, Looms)

Before You Apply

Do I need to be a GoHighLevel expert? +
Yes — at the build level, not user level. You should be able to architect multi-step workflows, pipelines, triggers, custom fields, calendars, and SMS/email end to end, and show 2–3 real builds you owned. Plus production experience in at least two of n8n, Make, and Zapier.
Is this full-time or contract? +
We're open to both — full-time or contract-to-hire for the right builder. We'll align on the structure and a fair range early in the conversation.
Is it remote? What about hours? +
Fully remote — you can work from anywhere in the world, on a flexible schedule. We just ask for a few hours of daily overlap with our team for live collaboration.
What AI tools will I work with? +
Claude and the Anthropic API are at the center of the role, orchestrated through n8n/Make. You'll build agents and LLM workflows for lead handling, content, ops, and client experience — with guardrails and a human in the loop.
What does the application involve? +
A technical screen (your proficiency and real builds), a short scenario, and a 3–5 minute Loom video introduction. The final step is a quick Culture Index survey.
