VFactor Health is a premium, clinical-grade online health-coaching program founded by Veronica Yu, a Registered Dietitian (RD) and Physician Assistant (PA). We're hiring a Tech & Automations Specialist to own the automation and AI backbone of a high-ticket coaching business.
About VFactor Health
We help women 45–65 — on GLP-1 medications (Ozempic/Wegovy, Mounjaro/Zepbound) or considering them — lose fat, preserve muscle, manage side effects, and reduce long-term medication dependence, with real clinical guidance behind every decision.
We deliver this as health coaching — education and support, not medical care — and we lead with Veronica's clinical credentials. Our clients invest several thousand dollars in our VIP Membership and Metabolic System programs, so every automated touch your systems send has to feel personal and credible, never like a generic funnel.
The Role
You'll run the stack near-solo at first — setting the standards, choosing the tools, and building the systems the whole team scales on.
You'll own GoHighLevel (workflows, pipelines, calendars, SMS/email), orchestrate integrations across n8n, Make, and Zapier, and design AI agents that qualify leads, summarize client check-ins, deflect support, and draft brand-safe copy. Every system you build moves real money on high-ticket offers and handles sensitive client health data — so you'll build for reliability and compliance from the first workflow.
What You'll Do
- GoHighLevel & funnel automation — Own the workflows, sales pipeline, and calendars that move a prospect from lead → application → consult → enrollment. Build fast speed-to-lead, no-show recovery, and nurture/onboarding sequences in our clinical-but-warm voice, with compliant SMS.
- Integrations (n8n / Make / Zapier) — Architect the connective tissue across GHL, email platforms, Typeform, calendars, QuickBooks, DocuSign, Slack, and ad platforms, with GHL as the single source of truth. Make smart tool-selection calls and build reliable, monitored automations.
- AI & LLM systems — Design and ship AI agents that score lead fit from applications, summarize weekly client check-ins and flag at-risk clients to coaches, deflect FAQs, and repurpose Veronica's content — with structured outputs, evals, guardrails, and a human in the loop. (Every AI system surfaces information for a human coach; none diagnoses or advises.)
- Data, security & compliance — Keep identifiable client health data out of consumer AI tools, use no-train commercial API endpoints, practice data minimization and proper secrets management, and keep automated marketing compliant.
- Reliability & reporting — Own error handling, monitoring, alerting, and documentation, plus a weekly plain-English funnel/revenue brief that reconciles ad data against QuickBooks cash.
Projects You'll Own
Starting with the backend operations systems that keep a high-touch program running smoothly.
- End-to-end enrollment-to-onboarding (deal won → contract → invoice → intake → first session → coach notified)
- The AI weekly check-in summarizer + at-risk early-warning system for retention
- A speed-to-lead + smart booking engine (fast response, self-scheduling, no-show recovery)
- An AI lead-qualification layer that scores every application and writes a pre-call brief into GHL/Slack
- A cross-tool ops & revenue dashboard with an AI-written weekly brief
Who You Are
- Demonstrable GoHighLevel build experience as the system of record — multi-step workflows, pipelines, triggers, custom fields, calendars, SMS/email — with 2–3 real builds you can show.
- Production experience in at least two of n8n, Make, and Zapier, and fluent in the third. Shipped live automations, not "aware of."
- Real LLM/AI-agent automations in production, wired into business systems via API — comfortable with Claude and the Anthropic API. Not just chatting in a window.
- API & webhook fluency (auth, JSON, debugging) and the discipline to handle sensitive personal and health data securely.
- Strongly preferred: light scripting (JavaScript/Python), a marketing-automation stack beyond GHL (Klaviyo/Mailchimp/HubSpot), and a background in coaching, info-product, agency, DTC, or health/wellness.
You're a self-directed builder who ships a working v1 and iterates, thinks in systems, documents what you build, designs for reliability, and prioritizes by business impact. This role isn't for you if you need detailed specs and step-by-step direction, you're all theory and no shipped builds, or you're careless with sensitive data.

Walk us through the automation you'd build to take that lead from submission to booked consult — what fires, in which tools, what (if anything) Claude does, how you keep it compliant, and one thing your automation must NOT do with what she shared.
